Rotary Club President

Rotary Clubs are led by a President who is elected to serve one year.  In December, a member is elected as President-Elect.  The following July 1, the President-Elect takes office as President-Elect.  In December, the President-Elect is elected President and a new President-Elect is elected.· The newly elected President takes office as President on the following July 1.

 

In some Clubs, there is a progression of offices that the President must have gone through.  These might include Secretary, Treasurer, Sergeant-at-Arms and, of course, President-Elect.  In Guilford Rotary, for a member to be asked to run for the office of President-Elect, they must have served on the Board of Directors.  During the 18 months from the time the President-Elect was elected and the time he/she takes office as President, a lot of training takes place.  Some is informal, including serving on the Board of Directors and filling in during the President's absence.  Other training is more formal, including the "Pre President-Elect Training Seminar" usually held in New Haven and chaired by the incoming District Governor and the "President-Elect Training Seminar" usually held in New Hampshire with Presidents-Elect from other Districts.

 

Rotary Club Treasurer

 

It shall be the duty of the treasurer, or in the treasurer’s absence the assistant treasurer, to have custody of all funds, accounting for it to the club annually and at any other time upon demand by the board, and to perform other duties as pertains to the office of treasurer. Upon retirement from office, the treasurer shall turn over to the incoming treasurer or to the president all funds, books of accounts, or any other club property.  In Guilford Rotary, the treasurer is also the postman--he checks the Club post office box and distributes the mail as needed.

 

 

  

Secretary and Executive Secretary

 

It shall be the duty of the secretary or the executive secretary as they may determine,

  • to keep membership records;
  • record attendance and collect monies at meetings;
  • send out notices of club, board and committee meetings;
  • record and preserve the minutes of such meetings;
  • report as required to RI, including the semiannual reports of membership on 1 January and 1 July of each year, and prorated reports on 1 October and 1 April of each active member who has been elected to membership in the club since the start of the July or January semiannual reporting period;
  • report changes in membership that result from new member inductions or removal of members for failure to pay dues or meet membership requirements;
  • provide the monthly attendance report, which shall be made to the district governor within 15 days of the last meeting of the month;
  • collect and remit RI official magazine subscriptions;
  • and perform other duties as usually pertain to the office of secretary or as directed by the President and/or the Board of Directors.

 

 

 

 

Co-Sergeants-at-Arms.

 

 

 

 

 

The duties of the sergeant-at-arms shall be to

  • insure order at meetings,
  • maintain a viable meeting environment,
  • perform duties such as are usually prescribed for such office and
  • other duties as may be prescribed by the President and/or the Board of Directors

In Guilford Rotary, order is insured (particularly during happy dollars) by the Sergeant at Arms controlling the microphone.  A viable meeting environment is maintained by the Sergeant at Arms configuring the seating arrangements and the communications including the sound system and the projection needs.
